What is MRA Compliance and Why Every Malawi Retailer Needs It
What is MRA compliance?
The Malawi Revenue Authority (MRA) is the government body responsible for collecting taxes in Malawi. Under the Taxation Act, all VAT-registered businesses are required to issue receipts that meet specific formatting requirements, showing the business name, TPIN, VAT registration number, itemised goods and services, and a clear VAT breakdown.
Failure to comply can result in fines, audits, and loss of your VAT registration certificate.
What must appear on a compliant receipt?
A valid MRA receipt must include:
- Business name and registered address
- TPIN (Taxpayer Identification Number)
- VAT Registration Number (if VAT-registered)
- Date and time of transaction
- Itemised list of goods or services sold
- Standard-rated (16.5% VAT), zero-rated, and exempt amounts separately
- Total VAT charged
- Receipt or invoice number
This is a lot to keep track of manually, especially for high-volume retail environments.
The risks of non-compliance
MRA compliance is not optional. Businesses found issuing non-compliant receipts risk:
- Financial penalties per non-compliant transaction
- Back-taxation assessments
- Suspension of your VAT registration
- Reputational damage if audited publicly
In recent years, the MRA has increased enforcement activity, particularly in Lilongwe and Blantyre's commercial districts.
How GulaSync automates compliance
GulaSync was built from the ground up with MRA receipt requirements in mind. Every receipt printed through GulaSync automatically includes:
- Your business name and TPIN (entered once during setup)
- VAT breakdown (Standard Rate, Zero Rated, Exempt)
- Date/time and sequential receipt number
- Itemised product list with applicable VAT codes
You do not need to manually format receipts or remember what goes where. GulaSync handles it.
VAT codes in GulaSync
When you add a product to your GulaSync catalogue, you assign it a VAT code:
| Code | Description | Rate | |------|-------------|------| | S | Standard Rate | 16.5% | | Z | Zero Rated | 0% | | E | Exempt | N/A |
The system calculates VAT automatically based on the code assigned to each product in the transaction.
